Terms of Service

1. Agreement

By accessing or using LightTaxes ("the Service"), you agree to these Terms of Service. If you are using the Service on behalf of a firm or organization, you represent that you have authority to bind that entity to these terms.

2. Description of Service

LightTaxes is a practice management platform for tax firms. The Service includes client management, document storage, workflow automation, billing, communications, and a client portal. Features may be added, modified, or removed over time.

3. Accounts

You are responsible for maintaining the security of your account credentials. Each user must have their own account. You must provide accurate information when creating an account. You are responsible for all activity under your account.

4. Firm Data and Client Data

You retain ownership of all data you upload or create in the Service, including client records, documents, and communications. We do not claim ownership of your data. We access your data only to provide the Service and as described in our Privacy Policy.

You are responsible for obtaining necessary consents from your clients before storing their personal information in the Service, including tax identifiers, financial data, and contact information.

5. Email Integration

When you connect a Gmail or Outlook account, the Service accesses your email to display conversations and enable attachment saving within the platform. You can disconnect your email account at any time, which stops data access and removes cached email data within 30 days.

You must have authorization to connect any email account you link. Do not connect email accounts belonging to others without their explicit consent.

6. AI Features

The Service includes AI-assisted features such as email thread summaries, message drafting, and workflow suggestions. AI-generated content is provided as a starting point and should be reviewed before use. You are responsible for the accuracy of any communications sent to clients, regardless of whether AI assisted in drafting them.

AI features process your data only within the context of the Service. Your data is not used to train AI models.

7. Document Storage

Documents uploaded to the Service are stored securely and encrypted at rest. You are responsible for maintaining backups of critical documents. While we take reasonable measures to protect your data, you acknowledge that no system is completely secure.

8. Acceptable Use

You agree not to:

• Use the Service for any unlawful purpose
• Attempt to access other users' accounts or data
• Interfere with or disrupt the Service
• Reverse engineer or attempt to extract the source code of the Service
• Use the Service to store data unrelated to tax practice management
• Upload malicious files or content

9. Client Portal

If you access LightTaxes through a firm's client portal, your access is governed by your relationship with that firm. The firm controls what data you can see and upload. Contact your firm for questions about your data.

10. Availability and Support

We aim to keep the Service available at all times but do not guarantee uninterrupted access. Planned maintenance will be communicated in advance when possible. Support is available via email during business hours.

11. Billing and Payment

Subscription fees are billed according to your selected plan. Prices may change with 30 days notice. Failure to pay may result in account suspension. You are responsible for any applicable taxes on your subscription.

12. Termination

Either party may terminate this agreement at any time. Upon termination, you may export your data for 30 days. After 30 days, your data will be permanently deleted. We may suspend or terminate accounts that violate these terms.

13. Limitation of Liability

The Service is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service. Our total liability is limited to the amount you paid for the Service in the 12 months preceding the claim.

LightTaxes is a practice management tool, not a tax advisory service. We do not provide tax, legal, or financial advice. You are solely responsible for the accuracy of tax returns and client communications.

14. Changes to Terms

We may update these terms periodically. Material changes will be communicated via email to active account holders. Continued use after changes constitutes acceptance.

15. Governing Law

These terms are governed by the laws of the State of California. Any disputes will be resolved in the courts of San Francisco County, California.
